# Privacy policy

This policy explains how Takshvi Agency (“Takshvi”, “we”, “us”) collects and uses personal data when you visit www.takshvi.agency, contact us, or work with us. We are based in Gota, Ahmedabad, Gujarat, India, and work with clients in the UK, the European Union, the United States, Australia and elsewhere.

If we process personal data on your behalf as part of a client project, our [data processing agreement](https://www.takshvi.agency/data-processing-agreement?hsLang=en) applies to that data instead of this policy.

## 1. Who is responsible for your data

## 2. Personal data we collect

### Data you give us

- Contact details such as your name, work email, phone number, company and job title, when you fill in a form, book a call or email us.
- The content of your messages, project briefs, files and call notes.
- Billing details such as company name, address and tax numbers if you become a client.

### Data collected automatically

- Whether you open or click emails we send you, if you have subscribed to them.

### Data from other sources

- Business contact details that are publicly available, for example on your company website or LinkedIn profile, when we research a potential partnership.
- Reviews and references you choose to publish on platforms such as Clutch.

## 3. How we use your data and our legal bases

We do not sell your personal data, and we do not use it for automated decisions that have legal or similarly significant effects on you.

## 4. Who we share data with

We share personal data only with service providers that help us run our business, under contracts that require them to protect it:

- HubSpot, Inc. — website hosting, forms, CRM, email and analytics.
- Google LLC — business email, documents and video calls.
- Video-conferencing, project-management and accounting tools we use to deliver and invoice projects.
- Professional advisers such as accountants and lawyers, under a duty of confidentiality.

We may also disclose data where the law requires it, or to protect our rights in a dispute.

## 5. International transfers

We are located in India, and some of our service providers store data in the United States and the European Union. When personal data from the UK or the EU is transferred to a country without an adequacy decision, we rely on the European Commission’s Standard Contractual Clauses and, for UK data, the UK International Data Transfer Addendum, together with appropriate security measures.

## 6. How long we keep data

- Enquiries that do not become projects: up to 24 months after our last contact.
- Client and project records: for the duration of the relationship and up to eight years afterwards, to meet accounting and tax requirements.
- Analytics data: according to the cookie durations in our [cookie policy](https://www.takshvi.agency/cookie-policy?hsLang=en).

## 7. How we protect data

We use encrypted connections, multi-factor authentication, role-based access limited to people who need it, encrypted devices and confidentiality agreements with everyone on our team. No system is perfectly secure, but we review our measures regularly and will tell you without undue delay if a breach is likely to affect you.

## 8. Your rights

Depending on where you live, you may have the right to:

- access the personal data we hold about you and receive a copy;
- correct inaccurate or incomplete data;
- ask us to delete your data;
- restrict or object to our use of your data, including for direct marketing;
- receive your data in a portable format;
- withdraw consent at any time, without affecting earlier processing;
- if you live in California, know what we collect and ask us not to sell or share it (we do not);
- if you are in India, exercise your rights under the Digital Personal Data Protection Act, 2023, including nominating another person to act for you.

## 9. Complaints

If you are unhappy with how we handle your data, please contact us first so we can try to put it right. You can also complain to your local data protection authority, such as the Information Commissioner’s Office in the UK, the supervisory authority in your EU country, or the Office of the Australian Information Commissioner.

## 10. Children

Our website and services are intended for businesses. We do not knowingly collect personal data from children under 16.

## 11. Changes to this policy

We may update this policy when our services or the law change. The date at the top of this page shows the latest version.
